Frequently Asked Questions

What buyers ask us before making their first inquiry.

Seven answers about workflow, identification, and export. If your question isn't listed here, ask us directly—you'll reach two engineers, no waiting on hold.

  • How soon will I receive a response to my inquiry?

You’ll receive an initial response within 48 hours—even if the procurement process itself takes longer. This response will indicate whether we were able to identify the part, what information we still need, and what delivery time you can expect. Here’s what happens during this time: Your documents are reviewed from a technical perspective. If the part number is unique and the part is common, we first check our own inventory—we have over 1,600 replacement parts in stock. Otherwise, we begin searching our manufacturer network. If any information is missing, we’ll ask you for it before contacting the supplier: An incomplete request leads to quotes for the wrong part and ultimately costs more time than the follow-up inquiry would have taken. The process is the same whether it involves a single fuse or a complete list of replacement parts. Both points of contact are engineers and review every request themselves—there is no preliminary screening by an intermediary.

  • The original part has been discontinued. Can you still supply it?

In most cases, yes. If a manufacturer has discontinued a component or no longer exists, we look for a technically equivalent replacement part. We base our search on the original specifications: dimensions, material, electrical and mechanical characteristics, and mounting dimensions. This results in a requirements profile that we use to search our network—which includes over 100 manufacturers and a growing network of distributors. Often, we find a solution through a supplier with a comparable product line. We verify the suitability of the replacement part before we submit a quote. So you don’t just receive a suggestion, but also the reasoning behind it: which specifications match and where there are deviations you should be aware of. You decide whether a deviation is acceptable for your specific application—we provide the basis for that decision. If no equivalent part can be found, we’ll tell you that as well—along with an explanation of why it isn’t possible. A “no” after two days is more valuable to you than a “yes” that can’t be delivered after two weeks. This cross-referencing is the part of our work that a catalog simply can’t do.

  • I only have a photo; I don't have a part number. Is that enough?

Most of the time, yes. Please email the photo to us at info@ibh-eurotec.eu—ideally including a picture of the nameplate and the installation location. The contact form does not accept files; please briefly describe your request in the form and then send the photos separately. Anything that shows scale and context is helpful: the part next to a folding rule, the connections from multiple angles, and the installation location before removal. If the nameplate is missing, we’ll identify the part based on technical characteristics—design, connections, dimensions, and material. Additional information about the system is also helpful: manufacturer, machine type, year of manufacture, and the context in which the part is installed. Often, the machine alone significantly narrows down the range of possible components. We’ll clarify any missing details with you before we contact the supplier. Several photos are better than one good one; format and resolution don’t matter as long as any labels remain legible. This ensures you don’t receive a quote for the wrong part.

  • Is it worth sending a request even for a single part?

Yes. The same process applies to a single fuse as it does to a complete list of replacement parts: inspection, sourcing, quotation, and delivery. Especially with individual parts, the effort involved has less to do with quantity than with identification—and that effort is the same whether it’s one part or fifty. Over 1,600 common spare parts are available from stock, ranging from fuses and gaskets to control components; delivery times for these are correspondingly short. For parts that must first be procured, the delivery time depends on the manufacturer—we’ll specify this in the quote, not just after the order is placed. It makes good business sense to bundle multiple items if they’re due anyway: shipping and customs clearance are then handled just once instead of multiple times. However, this isn’t required—we’ll process even a single fuse using the same procedure as a consolidated request. There is no minimum order value below which we will not process your request.

  • Which countries do you ship to?

We supply industrial customers in 30 countries, with a focus on South America. In addition, we serve European markets as well as industries where the delivery location varies depending on the place of use—such as shipping and shipbuilding, as well as mining and ore extraction. We handle the export process for every destination country: packaging according to the destination country’s requirements, freight forwarding coordination, and customs documentation. The specific documentation required in each case depends on the destination country, the value of the goods, and the type of component; we clarify this before shipment, not after the shipment is already en route. The delivery is thus monitored until arrival and does not end at the loading dock. We make regular deliveries to the pulp and paper industry, the packaging sector, and industrial automation—we’re familiar with the standard requirements of these target markets. For destinations outside the countries mentioned, please contact us—we can often find a solution, even if we haven’t made regular deliveries there yet.

  • In what language will I receive the offer?

We prepare quotes in German, English, or Spanish—in a structured format and with clearly stated freight and customs terms. Upon request, we can also issue a pro forma invoice, as required by many customs authorities for import declarations. We also conduct all correspondence in these three languages: inquiries regarding specifications, order confirmations, and shipping notifications. For Spanish-speaking regions, this is not an additional service but standard practice—the majority of our international shipments are destined for South America. This saves you the trouble of translating technical terms within your own organization and prevents the misunderstandings that can arise: A misinterpreted material designation or a mixed-up tolerance specification is often not noticed until the part has already been delivered. You can submit your inquiry in any of the three languages—even a mix of them, if you’re more familiar with the German technical term than the Spanish one. We accept technical drawings and data sheets in any language; what matters are the specifications, not the labeling.

  • Who handles customs, packaging, and shipping?

We’ll take care of that. Export packaging, freight forwarding, and customs documentation are all handled by a single provider—you don’t need a second service provider. Specifically, this means: packaging in accordance with the destination country’s regulations, selection and coordination of the freight forwarder, export declaration, and the accompanying documents. The best shipping method depends on weight, value, and urgency; for urgent individual items, air freight is often more cost-effective than the downtime associated with ocean freight. We’ll outline the alternatives in our quote so you can make an informed decision. We handle the entire process until the shipment arrives in the destination country; if customs or the freight forwarder has any questions, we are the point of contact—not you. If there are any delays, you’ll hear about them from us, not through the shipment tracking system. Experience has shown that this is precisely the part where international procurement often falls through—not because of the part’s availability, but because of the paperwork that must accompany it.
